Flying clubs in practice
What club flight operations need
Fair booking
Conflict detection and a waiting list for everyone, and with Premium booking rules for lead time, count and duration. Every member gets to fly.
Ratings checked
Class rating, medical, internal check flight: apron:pilot checks with every booking and sends a reminder before they expire.
Logbook always up to date
Flight time, landings and meters logged on the go. With Premium, apron:pilot reminds pilots of missing entries.
Everyone informed
Internal NOTAMs in the app, and with Premium by user group and by email as well.
Members under control
Import members from a spreadsheet, organise them in groups and store documents per member (Premium).
Bill the flights
With invoicing: PDF invoices per pilot straight from the logbook, with pilot rates and credits.
Booking with rules
With many members and few aircraft, clear rules matter. With Premium you set how far ahead, how often and for how long members can book, and review booking requests before approving them.
- Conflict detection and waiting list with notifications
- Rating check with every booking
- Restrictions for lead time, count and duration (Premium)
- Booking requests with approval (Premium)
- iCal and Google Calendar subscription (Premium)

Licences and check flights at a glance
You define which ratings each aircraft requires. Pilots get a reminder before they expire and, with Premium, keep their data up to date themselves, approved by an administrator.
- Name and assign ratings freely
- Reminder before expiry
- Pilot self-service with approval (Premium)
- Automatic renewal of the internal check flight (Premium)
- Licence overview with PDF export (Premium)

Switch without hassle
Import members from a spreadsheet. If you like, we move your existing logbook data over together with you through support, or you start each aircraft with an initial entry of total flight time and landings. The login page shows your logo and can be linked from your club website.
- User import from a spreadsheet (Premium)
- Old logbook data moved over through support
- Your own login address with club logo (Premium)
- One login for members of several clubs
- Interface and online help in English and German

Complements your club management
apron:pilot focuses on flight operations and complements the tools your club already uses. Much of everyday club life can be covered too: fees as invoice items, documents per member, custom labels and information for everyone through internal NOTAMs. Quick to set up and made for pilots on their phones. Developed in Graz, Austria.
How much does apron:pilot cost for a flying club?
To get started, there is the free-forever Free version. Depending on the size and needs of your club, you choose one of three Premium plans, and invoicing is available as an add-on. You will find all prices and differences on the pricing page.
Can we also use apron:pilot for club management?
apron:pilot focuses on flight operations and complements your existing club management. Much of everyday club life can still be covered: fees as custom invoice items with invoicing, documents per member, custom labels to organise members and information for everyone through internal NOTAMs.
Is apron:pilot suitable for gliding too?
Yes. You define ratings yourself, and with Premium your own flight types, and you keep gliders in the logbook just like powered aircraft. Launch log data can also be recorded through the logbook. If you have special requirements, write to us.
How do we switch from another system?
Import members from a spreadsheet (Premium). We move old logbook data over together with you through support, because every system stores it differently. Alternatively, start each aircraft with an initial entry of total flight time and landings. We are happy to help with the setup.
Which roles are there?
Administrators, power users and users. Administrators and power users can, for example, edit other members’ bookings. Dedicated roles for training-related tasks will follow with the training module in 2027.
Where is our data stored?
On servers in the EU. Personal data is encrypted, and backups run daily.
Do members need an app?
No. apron:pilot runs in the browser and is optimised for smartphones, no installation required. The interface and online help are available in English and German.
